Corporate Coffee Catering for Portland and Vancouver WA
Corporate Events | Offices | Conferences
Here is how corporate coffee catering with His Word Coffee works: we bring a fully self-contained mobile espresso bar to your event, set up in 30-45 minutes, serve specialty espresso drinks for 2-6 hours based on your event schedule, and break down without leaving a mess or burdening your venue staff. No venue kitchen access required. We handle everything from the commercial espresso machine to the cups, so your team can focus on what matters.
Corporate events carry a lot of weight. Whether it is an all-hands company meeting, a client appreciation day, or a product launch, every detail signals to attendees how much thought went into the experience. Coffee is often the last thing event planners think about and one of the first things guests notice. A proper espresso bar staffed by trained baristas lands differently than drip coffee sitting in a carafe on a folding table.
We have served corporate clients throughout the Portland metro area and Vancouver WA since His Word Coffee launched. We are a small, family-owned operation, which means Nick or Rachel Murphy is almost always on-site personally, not a subcontracted crew who has never worked together before. That matters for corporate events where reliability and professionalism are non-negotiable.
Our coffee is air-roasted using a fluid bed roasting process that produces a cleaner, brighter cup than traditional drum roasting. We source with intention and roast fresh. When we pull espresso for your guests, it reflects both our craft and your company's attention to detail. That is a genuine differentiator, not a marketing claim.
Corporate Events We Serve
Our mobile espresso bar is built for the demands of professional environments. We have worked alongside event coordinators, AV teams, venue managers, and HR departments across a wide range of corporate event formats.

Board Meeting or Offsite
Each of these formats has different rhythms and expectations. A product launch needs the bar to be a conversation centerpiece. An employee recognition event calls for warm, personal service where baristas remember names. A board meeting offsite requires precision timing and minimal disruption. We talk through these nuances during the booking process so we can calibrate accordingly.
Planning an Office Coffee Service?
If you are looking for regular office coffee deliveries or a recurring monthly setup for employee appreciation, we handle that too. Ask about our recurring corporate service arrangements when you request a quote. Recurring clients get priority booking and simplified billing.
What Is Included in Our Corporate Coffee Service
A lot goes into running a professional espresso bar at a corporate event. We handle all of it. Below is a full breakdown of what comes standard with every His Word Coffee corporate catering booking.
Standard Corporate Package Includes:
-
Portable commercial espresso machine -- professional-grade equipment, not consumer hardware. No venue kitchen hookup required. Generator option available for events with limited or no power access.
-
Full espresso drink menu -- Americanos, lattes, cappuccinos, mochas, cortados. Hot and iced versions of everything. We do not cut corners on the menu just because it is a corporate setting.
-
Non-coffee alternatives -- hot chocolate, chai lattes (with or without espresso), steamed milk for tea. No guest gets left out.
-
Professional barista attire -- clean, consistent, and appropriate for corporate environments. We look like we belong at your event.
-
Biodegradable disposable cups standard -- reusable-friendly setup available. We are conscious about waste and happy to discuss options that fit your company's values.
-
Custom branded cup sleeves available -- your company name or logo on every cup. Requires 5-7 business days advance notice and a modest additional cost based on quantity.
-
Pre-event menu consultation -- we review your event details, headcount, schedule, and any dietary considerations before the event to make sure the service is dialed in.
-
Full setup and breakdown included -- 30-45 minutes each. We arrive early, leave clean, and are off-site within 45 minutes of service end.
-
Certificate of insurance available on request -- many corporate venues and event coordinators require COI documentation. We have it ready and can provide it during the booking process.
-
Single point of contact -- you get a direct line to Nick or Rachel throughout the planning and day-of process. No call centers, no ticketing systems.
We have learned over time that the details most event planners forget to ask about -- power requirements, COI, branded cups, non-coffee options -- are the same details that create stress the week before an event. We raise them proactively so you do not have to chase them down.
Serving Capacity and Event Timing
One of the most common questions we get from corporate event planners is straightforward: how many people can you actually serve? Here is an honest breakdown based on our equipment and staffing.
Small Events: 20-50 Guests
- 2-hour service window
- 1 barista
- Works well for team meetings, offsite dinners, small client events
- Typical service pace: 1 drink per guest over 2 hours with buffer
Medium Events: 50-150 Guests
- 3-4 hour service window
- 1-2 baristas depending on service style
- Works well for all-hands meetings, mid-size conferences, recognition events
- Break-time service keeps lines short and pacing smooth
Large Events: 150-300 Guests
- 4-6 hour service window
- 2+ baristas recommended
- Works well for trade shows, conferences, large company gatherings
- We can stage service timing to match your event agenda
Our peak throughput is approximately 60-80 drinks per hour with one barista. Two baristas scale that to 120-150 drinks per hour. For events with scheduled break windows, we can compress service into those windows and maintain quality without long waits.
We also offer two service styles depending on your event format: a break-time service where we operate during defined windows aligned to your agenda, or a continuous open bar where guests can get drinks throughout the event. Each has tradeoffs and we will recommend what makes sense based on your headcount and schedule.
A Note on Headcount Estimates
You do not need an exact number to get a quote. A reasonable range is all we need to give you an accurate proposal. If your headcount changes significantly closer to the event, we will update the quote. Small fluctuations are absorbed without issue. Give us your best estimate and we will build a service plan around it.
Corporate Coffee Catering Pricing
We believe in being straightforward about pricing. Coffee catering costs vary based on headcount, event duration, staffing needs, and travel distance. Here is what you can realistically expect.
What's Included by Event Size
-
Small event -- up to 50 guests, 2-hour service: Includes one barista, full espresso menu, setup and breakdown. Ideal for team meetings, client appreciation breakfasts, or small company gatherings.
-
Mid-size event -- 50 to 150 guests, 3-4 hour service: One to two baristas depending on service intensity. Common for all-hands meetings, recognition events, mid-size conferences.
-
Large event -- 150+ guests, 4+ hour service: Two or more baristas. Complex logistics accommodated. Pricing scales with duration, staffing requirements, and any specialty additions.
-
Recurring corporate contracts: Custom rates available for companies booking monthly or quarterly events. Volume and loyalty matter, and we reflect that in pricing.
Travel fee: A travel fee applies for venues located more than 30 miles from Vancouver, WA. We serve throughout the Portland metro area and Greater Portland region regularly, so most corporate events in Beaverton, Hillsboro, Lake Oswego, Tigard, Gresham, and downtown Portland fall within our standard service area.
What affects your final quote: Event duration, confirmed headcount, menu selections (add-ons like branded cups or non-standard beverages), venue access requirements, and staffing level. We provide a complete written quote within one business day of receiving your event details.
Get Your Custom Quote
Every corporate event is different. The fastest way to get accurate pricing is to tell us about your event: date, location, estimated headcount, and service style you have in mind. We will send a detailed proposal within one business day.

Why Corporate Event Planners Choose His Word Coffee
There are other coffee caterers in the Portland and Vancouver area. We know that. Here is what actually makes us different, without the puffery.
1. Fully Self-Contained Setup -- No Venue Dependency
Our equipment does not require access to a venue kitchen, commercial water lines, or three-phase power. We bring what we need. Generator capability means we can operate in parking garages, rooftop terraces, outdoor plazas, and non-traditional event spaces where other caterers would struggle. We have done it. We like a logistical challenge.
2. Specialty-Grade Coffee, Air-Roasted Fresh
We use fluid bed air-roasting, which produces a cleaner and brighter cup with less chaff and bitterness than traditional drum roasting. Our beans are SCA-rated quality, sourced with care, and roasted within days of your event. This is not the commodity coffee other caterers pour from bulk jugs. Your guests will notice the difference, and a few of them will ask about it.
3. Reliable, Accountable, Faith-Rooted
We are a family business. Nick and Rachel Murphy operate it personally. When you book with us, you are working with the people who will actually show up, set up, and serve. We are not dispatching a crew. Our values around honesty, reliability, and genuine care for the people we serve inform everything we do. We show up early, set up clean, and represent your company well.
4. Flexible Timing -- We Work Around Your Agenda
Corporate events do not always run on schedule. We build buffer into our service windows and stay flexible when things shift. If your keynote runs long and the coffee break moves 20 minutes, we adjust. We have also structured service around tight break windows to minimize guest wait time when schedules are strict. Tell us what you need and we will build the service model around it.
5. Certificate of Insurance Provided on Request
Many corporate venues and event coordinators require vendors to carry general liability insurance and provide a COI before they allow setup. We carry the coverage and can provide the certificate during the booking process. This is one less thing for your event coordinator to chase down. If your venue has specific additional insured requirements, just let us know and we will handle it.
The Corporate Coffee Experience -- What to Expect
We want you to know exactly what you are getting when you book us. No surprises, no ambiguity. Here is the arc of a typical corporate coffee catering engagement with His Word Coffee.
The Day Before Your Event
We do a final review of your event details with whoever is the on-site contact. Equipment gets cleaned, calibrated, and checked. Coffee is roasted or confirmed fresh, portioned for your estimated headcount with a buffer. If you have branded cups or sleeves, those are packed and ready. We confirm the menu one more time and make sure we have answers to any last-minute questions from your venue coordinator.
Day-of: Arrival and Setup
We arrive at least 60 minutes before the service window opens. Load-in happens on your schedule, coordinated in advance with whoever manages venue access. The bar is built, the machine is warming, and the station is guest-ready before your first attendee walks in. Setup takes 30-45 minutes. By the time guests arrive, the espresso is dialed in and we are ready to serve.
During Service
Baristas greet each guest by name if they introduce themselves. Drinks are made to order. The station stays clean throughout service -- no mess accumulating, no cups piling up. We manage our own waste. If a guest has a dietary question or an allergy concern, we answer it directly and honestly. We do not rush people through the line, but we do keep things moving efficiently. The goal is for every guest to walk away with a drink they actually liked.
After Service: Breakdown and Invoicing
Breakdown takes 30-45 minutes. We leave the area in the same condition we found it, or better. Equipment is packed, waste is handled, and we are off-site promptly. Your invoice is sent the same day or the following morning, depending on when the event ends. If there are any post-event questions -- feedback, adjustments for a future booking, anything -- you have direct access to us by phone or email.
Frequently Asked Questions
These are questions we actually get from corporate event planners, HR teams, and office managers. Honest answers, no hedging.
Do you provide coffee catering for recurring corporate events?
Yes. We work with companies that hold recurring events -- monthly all-hands meetings, quarterly team gatherings, client appreciation breakfasts. Recurring clients can discuss custom contract rates that reflect the ongoing relationship. Booking priority, simplified invoicing, and familiarity with your venue are all part of what a recurring arrangement provides. Reach out to talk through what that might look like for your team.
Can you coordinate with our venue's event coordinator?
Absolutely. We have worked alongside venue coordinators, AV teams, catering managers, and facilities staff at office buildings, hotel ballrooms, conference centers, and private event spaces throughout the Portland area. We will communicate directly with whoever is the right contact at your venue to confirm load-in times, table placement, power access, and any venue-specific requirements. Our goal is to take this piece off your plate entirely.
How much space does your coffee cart setup require?
Our standard setup occupies approximately 6 feet wide by 4 feet deep, plus a guest-facing queue area of about 4-6 feet in front of the bar. In tighter spaces, we can work with a modified configuration. Power: we prefer one dedicated 20-amp outlet, but our generator option covers events where outlet access is unavailable. If your venue has specific restrictions on footprint or power, share them early and we will confirm fit before you finalize the booking.
Do you offer non-coffee options for non-coffee drinkers?
Yes, and we think this matters more than most coffee caterers acknowledge. Our standard corporate menu includes hot chocolate, chai lattes (with or without espresso), steamed milk, and hot water for tea. We can also add cold brew, specialty lemonades, or sparkling water as add-ons. In our experience, about 15-20% of guests at a typical corporate event prefer a non-coffee option. Making sure those guests have something good is part of what makes the service feel inclusive and well-planned.
What if our headcount changes closer to the event?
Headcount changes are a normal part of corporate event planning. We ask for your best estimate at booking so we can plan coffee supply, staffing, and timing. If your count increases significantly -- more than 25% above the quoted number -- we will re-quote to keep service quality consistent. Small changes in either direction are typically absorbed without adjustment to the final invoice. The key is to keep us informed as your RSVPs firm up so we can adjust sourcing and staffing accordingly.
Can you brand the cups with our company logo?
Yes. Custom branded cup sleeves are available with 5-7 business days advance notice. We work with a print vendor to produce sleeves featuring your company name, logo, or event branding. Pricing for branded sleeves depends on quantity and is quoted separately from the base service. For events with tight lead times, we can use a sticker or label solution as a fallback option. This is worth discussing early -- branded cups are a nice touch that reinforces the effort you put into the event.
How to Book Corporate Coffee Catering
Booking is simple. We keep the process lean because event planners do not have time for complicated vendor onboarding.

About His Word Coffee
His Word Coffee was founded by Nick and Rachel Murphy in Vancouver, WA. It is a faith-rooted family business built around specialty coffee and genuine hospitality. We use a fluid bed air-roasting process that produces a cleaner, more vibrant cup, and we source beans with the kind of intentionality you would expect from a company whose name reflects something they actually believe in.
The mobile coffee catering side of the business grew naturally from our retail and wholesale coffee work. We started getting asked to bring the experience to events, and we found we were good at it. We have refined the corporate service format over time to be something that works cleanly in professional environments, respects event coordinators' time, and delivers a product guests genuinely enjoy.
We are not the biggest coffee caterer in the Portland area. We are one of the most reliable. Our clients know they can count on us to show up on time, work without drama, and leave the venue in good shape. That reputation matters to us more than scaling fast.
